Privacy policy statement

 

The EWWR Secretariat, in the role of data controller and processor, has the responsibility to protect the privacy and rights of the data’s subject and controls the procedures and purpose of personal data usage (article 4 of the GDPR).

Although users can browse the EWWR website without giving any information about themselves, we do require certain personal information in order to grant access to some parts of the portal. We treat this information according to this privacy policy statement.

Information about the collection and use of personal data on the EWWR website

The EWWR Secretariat collects personal data from users for communication, dissemination and statistical purposes, namely by:

  • Registration as an Action Developer;
  • Compilation of the registration form;
  • Subscription to newsletters;
  • Submission of messages via our contact form;
  • Information on your visit on our website, the pages you visited, including, but not limited to, traffic data, location data, weblogs and other communication data.

Information collected from the beneficiaries by email, newsletters, or through the EWWR website by registering as an Action Developer and filling in the registration form is used exclusively to the extent necessary to fulfil a specific purpose.

By filling the registration form to participate in the EWWR and clicking on “submit” the user agrees to the collection and storage of the personal information requested
under the conditions specified. More information about data collected upon registration is included in the participation charter. The personal data inserted in the EWWR registration form will be used only for public information related to the action, as specified in the registration form.

The information may be used for EWWR newsletters and specific announcements (invitation to webinars and events, publication of press releases, etc.), and in general to inform you on other activities we feel could be of interest to you. Your data will not be re-used for an incompatible purpose nor revealed to a third party.

Legal basis

The EWWR Secretariat is committed to the protection of personal data, in accordance with the General Data Protection Regulation (GDPR). Your personal data will thus be processed in conformity with article 6 of the above-mentioned law.

To whom we disclose information

The personal data collected through the registration form is publicly disclosed in the action database section of the website with the express approval of the action developers, who will be informed about which information will be made public.

Along with the EWWR Secretariat, the recipients of personal data will be the EWWR coordinators.

The registration form includes one section dedicated to data that will be handled internally by the EWWR Secretariat and EWWR coordinators.

The EWWR Secretariat and EWWR coordinators will not divulge your personal data for direct-marketing purposes.

International data transfers

Personal data may be transferred by the EWWR Secretariat to EWWR coordinators – some of which are located in third countries – applying the appropriate safeguards, in conformity with article 46 of the GDPR.

Personal data will not be divulged for direct-marketing purposes. The personal data will be exclusively used for the purpose of organising the EWWR campaign.

Data subject rights

In accordance with Belgian law, you have the right to access, modify, correct, and delete your personal data (article 12 of the Law on the protection of personal data—Loi relative à la protection de la vie privée à l’égard des traitements de données à caractère personnel—from 8 December 1992).

Users can also exercise their data subject rights on the basis of Chapter 3 of the GDPR. These include, among others, the right of access, the right to rectification, the right to erasure, the right to restriction of processing, the right to be informed, the right to data portability, the right to object and the right not to be subject to a decision
based solely on automated processing.

Subscribers to the EWWR email list are given the possibility to unsubscribe either by sending an email to contact@ewwr.eu or through a link that is provided in every dissemination email (newsletter, specific announcements…).

Unsubscribing will get the personal data erased from the contact list. The email list will be stored in the website content management system whose access will be limited to the EWWR Secretariat staff members, as well as the sub-contractors who developed and maintain the website. An external software – such as Mailchimp – might be used
to send emails and communications to EWWR contacts.

Security

The EWWR website is designed to protect the information collected online from unauthorised access. However, the transmission of information via the internet is not completely secure, thus we cannot guarantee the security of data you send us electronically. The transmission of such data is therefore entirely at your own risk.

EWWR account holders are provided with a password to access the Member Space of the website. They are responsible for keeping it confidential.

Retention of information

When you register to become a member of the EWWR community or subscribe to our newsletter and updates, we save your personal data in our website database. Accounts that are not used for more than three consecutive years will be purged and all data will be deleted.

Cookies

As common practice for almost all professional websites this site uses cookies, which are tiny files that are downloaded to your computer, to improve your experience. For more general information on cookies see HTTP cookie.

Users can approve cookies by clicking the “accept” button on a banner which appears when they access the website.

If you create an account with us, we will use cookies for the management of the signup process and general administration. These cookies will usually be deleted when you log out. We use cookies when you are logged in so that we can remember that your session is open. This allows users to access multiple pages on our website without having to log in every single time. These cookies are typically removed or cleared when you log out to ensure that you can only access restricted features and areas when logged in.

The EWWR uses session cookies – also known as temporary cookies. Our cookies only retain information about users’ activities for as long as they are connected to our website. As soon as users end their sessions, the cookies will automatically be deleted.

This site offers newsletter or email subscription services and cookies may be used to remember if you are already registered and whether to show certain notifications which might only be valid to subscribed/unsubscribed users.
